Getting items from the server
In Editor, Publisher, and Administrator modes, Portfolio allows users to gather
items and copy them to a specified location outside of the catalog and its folders.
This is called "collecting items."
To collect items, first create a new gallery and drag the records you want to
collect into it. (If you want to collect all the records in an existing gallery,
or in the current gallery window, then don't bother creating a new gallery. Just
move on to the next step.)
Next, press the button or choose Gallery
> Collect... to open the Collect window.
You now have several choices. First, decide where to put the files that you
intend to collect. Click the folder icon in the Destination box to browse and
choose a folder for your items. Check Preserve File Hierarchy
if you want the files that you collect to nest the way the originals from your
catalog do. (If you do not do this, the new files will all be copied into one folder
without subfolders. If you do this, the new files will be arranged in nested subfolders
within the folder you designate as their destination.)
If you wish to create a new catalog just for your collected files, check
Create Archive Catalog and then click the small Portfolio
icon to choose a location for it. We recommend choosing a location different from
your original catalog.
If you create a new catalog for your files, you can also create a Browser
application that you can distribute with your files. A Browser application is
a limited, Reader-level-only version of Portfolio that allows others who do not own the
full Portfolio application to look at catalogs that Portfolio users have created.
Browser applications cannot create or modify catalogs. You might create a Browser
application and a new archive catalog in order to distribute a small set of images
among your students or colleagues without worrying about whether they have access to
Portfolio themselves. Create a Browser application by checking Create
Browser Application, and check Include User Guide
to include a User guide PDF alongside the application.
Note that in the bottom left corner of the Collect window, Portfolio displays
the estimated size of the collection you are about to create in kilobytes (45763.35
kilobytes = roughly 45.7 megabytes).
Once you have set up your collection options the way you like, click OK
to create the collection.
