Using Categories

Categories in Portfolio are a little like file folders with which you can organize your catalog's records. They are virtual folders into which you can drag and drop records. By simply opening a catalog, you can view all of the records organized within it. And, unlike with physical file folders, a record in Portfolio can exist in multiple categories at once.

To display the Categories list for a catalog, choose Window > Show Categories. The Categories list displays a nested hierarchy of all the categories in the currently open catalog. You can manipulate it in several ways.

  • First, by double-clicking on a category, you can open a new gallery window displaying all of the records organized within that category and its subcategories.
  • Second, by clicking once on the triangle to the left of a category name, you can expand the Category list to show the subcategories of a given category. Then, of course, you can double-click on a subcategory to open a gallery window containing the records in it.
  • Third, you can create, modify the contents of, delete, nest, and rename categories. To learn how to do this, see Organizing and Grouping Records in the Advanced Help section.
